These terms describe general use of VEPSuite. A signed order form, subscription agreement, or other written agreement between VEPSuite and your organisation takes precedence where its terms differ.

Using VEPSuite

VEPSuite provides modular organisation management tools for workflows such as finance, people operations, procurement, reporting, and customer relationships. The services and features available to you depend on your organisation’s subscription and configuration.

You may use the website and services only for lawful business purposes and in line with these terms and any agreement that applies to your organisation.

Accounts and access

Your organisation is responsible for assigning authorised users, maintaining accurate account details, and managing access credentials. Users should keep credentials confidential and promptly report suspected unauthorised access.

Workspace administrators may manage roles, permissions, and user access in accordance with their organisation’s policies.

Customer information

Your organisation retains its rights to information it submits to its VEPSuite workspace. You are responsible for ensuring that you have the rights and permissions needed to use that information and to instruct VEPSuite to process it.

VEPSuite may process workspace information as needed to provide, secure, support, and improve the services, subject to the applicable customer agreement and Privacy Policy.

Acceptable use

You must not misuse the services or interfere with their operation. In particular, you must not:

  • Attempt to access another user’s account or data without authorisation.
  • Upload malicious code or use the service to distribute unlawful or harmful material.
  • Probe, disrupt, or bypass service security or access controls.
  • Resell, copy, or reverse engineer the service except where applicable law permits.

Availability, changes, and support

VEPSuite works to keep its services available and reliable, but maintenance, connectivity issues, and events outside reasonable control may interrupt access. Specific service levels, hosting arrangements, and support commitments are set out in the agreement for your organisation.

Features may evolve over time. Where a change materially affects a contracted service, VEPSuite will use reasonable efforts to provide notice through appropriate service channels.

Fees and subscriptions

Subscription fees, billing periods, renewal terms, and any applicable taxes are described in your organisation’s order or subscription agreement. If a subscription ends, access may be suspended or removed in accordance with that agreement.

Intellectual property

VEPSuite and its licensors retain rights to the platform, software, visual design, and related materials. Your organisation receives a limited right to access and use the services during its subscription. These terms do not transfer ownership of customer information to VEPSuite.

Suspension and termination

VEPSuite may restrict access where reasonably necessary to protect users, address a security risk, comply with law, or respond to a material breach. Where practical, we will notify the organisation and allow an opportunity to resolve the issue.

After termination, handling and export of workspace information are governed by the applicable customer agreement.

Liability and governing terms

To the extent permitted by law, VEPSuite is not responsible for indirect or consequential losses arising from use of the website or services. Any additional limits, warranties, and governing law are set out in the agreement between VEPSuite and your organisation.

If any part of these terms is found unenforceable, the remaining parts continue to apply. These terms and any applicable customer agreement form the understanding governing use of the services.

Changes to these terms

We may update these terms when our services or operating requirements change. The latest revision date appears above. Continued use after updated terms take effect means the updated terms apply, subject to any separate agreement with your organisation.
